Payment & Cancellation
This policy describes the payment, cancellation, and refund conditions for Asterolabs' services — the monthly Automation + AI retainer and Cybersecurity packages.
1. Nature of the Service
Asterolabs delivers technology services under a scope defined in a proposal or agreement — there is no platform subscription, credits, or self-service plans. Payment and cancellation conditions depend on the area engaged: a monthly retainer for Automation + AI and a fixed package for Cybersecurity.
Fees are stated and payable in U.S. dollars unless otherwise agreed, and are processed through our payment provider (Stripe). Because these are professional B2B services, there is no statutory cooling-off period; the conditions below apply.
2. Automation Retainer
Automation + AI services are billed as a monthly retainer, a recurring charge that funds operating, hosting, and maintaining the automation while it is live on Asterolabs' infrastructure.
- While the retainer is current, Asterolabs keeps the service running and does not unilaterally end it, per the Terms of Service.
- The retainer may be adjusted annually. The client is notified in advance; if the adjustment is not accepted, the service may end at the close of the current cycle.
- Non-payment allows suspension and, if it continues, termination of the service, subject to prior notice.
3. Cybersecurity Packages
Cybersecurity services are engaged as fixed packages, with scope and price defined in the proposal and a one-time delivery.
- Payment follows the proposal terms (in full, in installments, or by delivery milestones, as agreed).
- Because this is a defined-scope, defined-delivery service, cancellation after work begins accounts for the work already performed, per Section 5.
4. Cancellation
The client may cancel the service at any time by emailing support@asterolabs.com. The effects of cancellation depend on the area:
- Automation (retainer): cancellation ends the recurrence at the close of the monthly cycle already paid, subject to any notice period in the proposal. When the retainer stops, the automation hosted on Asterolabs' infrastructure is taken offline. No further cycles are charged after termination.
- Cybersecurity (package): cancellation before work begins incurs no charge. After work begins, the amount proportional to the work already performed is due.
5. Refunds
Refunds follow the nature of the service:
- Automation retainer: because it funds a service running month to month, the retainer already paid for a current cycle, during which the service was live, is not refundable. No future cycles are charged after cancellation.
- Cybersecurity package: amounts for work already performed are not refundable; any installments for stages not yet started may be refunded.
- Incorrect or duplicate charges: amounts charged in error are refunded in full.
- Proven non-delivery: an inability, attributable to Asterolabs, to deliver the contracted service warrants a proportional refund.
- Third-party discontinuation: interruption or infeasibility of the service caused by a third party discontinuing, suspending, or changing an essential service (for example, cancellation of an API, an AI provider, or a cloud service) is not attributable to Asterolabs and does not warrant a refund — that risk is borne by the client.
Each case is reviewed individually, with a response within 5 business days.
6. Refund Processing
Once a refund is approved, it is processed to the original payment method:
- Credit or debit card: the refund appears on your statement within up to two billing cycles (varies by card issuer).
- ACH / bank transfer: returned to the originating account within up to 10 business days.
- Wire transfer: processed within up to 10 business days upon receipt of banking details.
7. Invoices
Asterolabs issues an invoice or receipt for the charges made, sent by email. In the event of a refund, a corresponding credit note is issued.
